What to automate
Start with the questions reception can answer from an approved information sheet: opening hours, location, directions, services offered and the booking process. Name someone who updates that sheet when timings, fees or availability change. If information is missing, ask reception rather than generate an answer.
- Information: share the clinic-approved answer to the question asked, without promising treatment suitability or outcomes.
- Booking: collect a preferred date, time and contact name. Confirm an appointment only after the booking system or reception confirms the slot; otherwise label it a request.
- Reminders: send the agreed appointment details and a way to cancel or ask for help. Stop old reminders when an appointment changes.
What stays with a human
Questions about symptoms, diagnosis, medication, test results or whether a treatment is appropriate belong with qualified clinical staff. The automated reply should explain that it cannot assess the question and pass it to the designated person. It should not turn a clinical question into a sales qualification script.
Ask the clinic to approve the message for urgent concerns and out-of-hours enquiries. Make clear that this inbox is not an emergency service and when a human will be available. Do not promise an immediate clinical response if nobody is monitoring it.
Confirm consent and opt-in before launch
Consent, opt-in, message templates, privacy and retention requirements depend on the jurisdiction and the messaging platform. Confirm what applies to your clinic in India with the appropriate adviser and platform documentation before launch; this guide does not establish those requirements.
- Agree which messages the patient expects and how their permission will be recorded. Do not treat an appointment enquiry as permission for unrelated promotions.
- Provide a clear way to stop messages and route withdrawal requests to the person responsible for updating the workflow.
- Collect only the details needed for the booking. Keep reminder text discreet, particularly when a phone may be shared.
A simple setup checklist
- Choose one enquiry flow and name its reception owner.
- Approve the information sheet, supported languages and wording for unanswered questions.
- Connect the booking process and distinguish requested slots from confirmed bookings.
- Confirm the consent and opt-in approach, access permissions and retention process.
- Set the handoff destination, working hours and fallback when no staff member is available.
- Test a new enquiry, unavailable slot, reschedule, cancellation, stop request and clinical question using fictional details.
- Review actual conversations with authorised staff and correct inaccurate answers before expanding the flow.
Measure the workflow you actually run
Record whether an enquiry received a useful answer, whether a booking was confirmed, and whether a human handoff was completed. Review incorrect information and missed cancellations as well as bookings. Establish your own baseline rather than assuming automation will improve any particular result.
