Why add the service
An agency that generates enquiries may also be asked what happens after those enquiries arrive. A follow-up service can extend the agency’s scope into answering questions, coordinating next steps and reporting outcomes. Start with a client problem you can observe, such as enquiries with no recorded owner or callback.
This adds responsibility as well as a service line. Someone must maintain the approved information, review conversations and resolve exceptions. Decide who will do that work before presenting the service as a retainer.
How white-label works
Conceptually, the supplier provides the underlying software and the agency presents an agreed service under its own identity. The client buys a defined scope from the agency. The agency and supplier have a separate commercial arrangement. Branding, access, billing and support arrangements must be confirmed in that agreement; the label alone does not establish them.
What stays with the agency
- Brand: the name and presentation the client sees, within the agreed branding options.
- Price: the agency’s service proposal, subject to any agreed supplier restrictions.
- Client relationship: discovery, expectations, reporting and handling concerns.
- Delivery ownership: approved scripts, handoff arrangements, client approvals and review of changes.
Price the work you will actually deliver, including setup, review and support. Separate the scope of your management service from any usage allowances or charges, so the client knows what can change.
What to agree with the supplier
- Technology: hosting, supported channels, enabled tools and maintenance responsibilities.
- Support: who handles incidents, how to escalate and what response commitments are agreed.
- Data: access, export, retention and what happens when either relationship ends.
- Control: which changes the agency can make and which need supplier or client approval.
Ask for a demonstration of the exact workflow you intend to sell. Confirm each promised capability before including it in a proposal; do not assume that every channel, integration or branding option is available.
Start with a service you can explain
- Choose an enquiry workflow and define what remains with the client’s staff.
- Write the handoff and approval rules, including who covers out-of-hours exceptions.
- Agree a reporting method that distinguishes activity from business outcomes.
- Run an agreed trial and review the records before expanding the scope.
Report what happened, including failures and unresolved enquiries. Avoid guaranteeing lead quality, bookings or revenue based on a demonstration.
