Why speed matters for property leads
A buyer who enquires on a portal or from an ad is usually enquiring with several projects or brokers at once, and the enquiry is fresh in their mind only briefly. The business that replies first with something useful tends to start the conversation; a callback the next day often reaches someone who has already spoken to others. This is a reasoning about how enquiries work, not a statistic: measure your own leads before relying on any figure you read elsewhere.
A target you can keep
- Set one rule for the whole team, for example: every new enquiry gets a first reply within five minutes during working hours.
- Name who owns a new lead the moment it arrives. A lead everyone can see is a lead nobody calls.
- Pick a target you can keep on your worst day. A stricter rule that is missed teaches the team to ignore it.
What the first reply should say
- Answer what they asked: price range, location, availability, brochure.
- Send the one thing they will want next, such as the brochure or floor plan, in the same message.
- Ask one question back: budget, timeline or preferred location.
- Propose a next step with a time: a call today at a stated hour, or a site visit on a named day.
For Dubai brokerages, keep calls within permitted hours and only contact people who enquired or opted in. For India, reply in the language the buyer wrote in, Hindi or English.
Nights and weekends
Enquiries do not follow office hours. For anything that arrives out of hours, send an acknowledgement that is specific (“thanks, I have sent the brochure; I will call you at 10am tomorrow”) rather than a generic auto-reply, and put the promised call on someone's calendar so it is not left to memory.
Tracking your own reply time
Once a week, take the new enquiries and record when each arrived and when it first got a real reply. Count how many were answered within your target. That one number, from your own leads, shows how much slipping is happening and when.
Doing this without adding people
AceOS answers every enquiry on calls and WhatsApp within seconds, in Hindi or English, sends the brochure during the conversation, books the site visit and schedules the follow-up, with your team approving anything sensitive.
