Work out what it costs you
You need three numbers, all from your own clinic. Use your real ones; the example uses placeholders.
- How many calls and messages go unanswered in a typical week. Ask reception to tally for one week.
- What share of enquiries normally turn into a booked consultation. Your booking record shows this.
- What a booked consultation is worth to the clinic, in the average first-visit revenue you actually earn.
Unanswered enquiries × your booking share × value of a booking is a rough weekly figure for what is being left on the table. Treat it as an estimate: not every missed enquiry would have booked, and some call again.
Why calls get missed
- The front desk looks after the patient in the room first, so the phone and WhatsApp wait.
- Enquiries arrive in the evening and at night, when nobody is there.
- A call that was answered but not followed up: “let me check and call back” with no date set.
- Messages spread across the clinic phone, individual phones and the website form.
Four fixes that come first
- One shared place for enquiries, so nothing lives only on one person's phone.
- A written first reply for the common questions: treatments, timings, location, fees, how to book.
- A callback rule: every missed call gets a call or message back within a set time, written on a list.
- A dated next step for every enquiry, so “let me check” always has a day attached.
Evenings and nights
Decide what a patient who messages at 10pm should receive. At minimum, a specific acknowledgement with the next available time, and the same questions you would ask in the morning, so the morning call starts from context.
When to automate
If the fixes above are in place and enquiries still outrun the desk, or most of them arrive out of hours, automating the first reply and the follow-up is the next step. Patient conversations deserve care: keep clinical questions with your doctors and staff, and let automation handle information, booking and reminders.
AceOS answers patient enquiries on WhatsApp and calls in Hindi or English, shares your treatment information, books the consultation and schedules the follow-up, with your team able to take over any conversation.
